Instructions for Presenters

Please note that the conference is conducted in English, therefore all posters and presentations must be delivered in English.

 

Instructions for Oral Presentations

The deadline for sending slides is Wednesday 17th September 2025, this is to allow time to check each slide set for any issues and resolve them before the conference. Please email slides to campyuk@biology.ox.ac.uk including your name and the title of the presentation in email.

Preparation for the oral presentation

  • Please prepare your talk for a general audience from academia, public/veterinary health and industry.
  • You may not be able to see presenter notes on the day.
  • When preparing slides please use the 16:9 ratio for proper display, aim for one slide per minute and avoid animations to prevent delays, however if you would like to embed video please let us know.
  • Talks are for 10 minutes followed by 2 minutes questions, unless stated otherwise. Please note, we are not able to overrun.
  • You may want to consider the following structure for your talk; opening introduction of about 1 minute briefly introducing yourself, any conflicts of interest and the background of your work, main content of 8 minutes covering the methods, findings of your work that you wish to emphasise, followed by a conclusion of about 1 minute reiterating the key message and summarising next steps.
  • For transparency all presentations should include a written acknowledgement of individuals or organisations who have contributed to or supported the work presented, all sources of funding and any potential Conflicts of Interest.

On the day of the oral presentation

Each oral presentation session will follow a running order of the presentations as defined in the conference programme. The sessions will take the following structure:

  • Up to 10 minutes to introduce yourself and present the slides outlining your work.
  • Up to 2 minutes for questions and time to transition to the next presenter.

Presenters should arrive at the lecture theatre 15 minutes before their session is due to start to meet the session chair and get familiar with the audio-visual set up.  We will give a prompt at 2 minutes and 1 minute before the end of your talk to help you and the session chairs keep to time.  Unfortunately, due to the short time we have available, it will not be possible to let talks overrun.

Instructions for Posters

Preparation for the poster session

  • Posters should be A0 size, portrait orientation and can be printed on either paper or fabric.
  • Posters should be printed before the conference and brought with you on the day, there will be no facilities to print your poster at the venue.
  • We will supply fixings to attach your poster to the board.
  • When preparing your poster, you may want to consider using sections on introduction, methodology, results and conclusions, in addition to what the key messages are as this will be useful when discussing your work with other delegates on the day.
  • For transparency all posters should include a written acknowledgement of individuals or organisations who have contributed to or supported the work presented, all sources of funding and any potential Conflicts of Interest.

On the day of the poster session

  • Posters should be mounted on the poster stands in the foyer of the LaMB building at least 15 minutes before the start of the poster session
  • Your poster will be allocated a number, please ensure that you mount your poster on the correct poster stand.
  • Early Career Researchers (loosely defined as without a permanent contract or senior position), please ask at the meeting reception for a sticker if you would like to be considered for a poster prize.
  • During the poster session please spend some time standing with your poster so you are available to discuss your work with the delegates.
  • Posters should be taken down by the end of the conference, 16:00 pm on Thursday 25th September.
  • Any posters left behind will be disposed of.
